ABOUT THE INFORMATION TECHNOLOGY (IT) COORDINATOR

Reporting to the Chief Financial Officer, the IT Coordinator is responsible for MSBA’s core technology tools and vendor relationships, with a strong emphasis on Microsoft 365 and SharePoint as foundational platforms for secure collaboration and information management. The role plays a key part in advancing and rolling out MSBA’s IT strategy by leading the configuration, adoption, and continuous improvement of SharePoint and related modern workplace tools. Through effective information governance, system coordination, and vendor oversight, the IT Coordinator ensures that internal and external technology services are stable, secure, and aligned with MSBA’s mandate, operational needs, and long‑term goals. With reasonable scope for independent action, the IT Coordinator proactively identifies gaps and opportunities within MSBA’s IT environment, with particular emphasis on modern workplace capabilities, secure collaboration tools, and vendor security configurations. The role focuses on delivering pragmatic, fit‑for‑purpose technology improvements that align with MSBA’s operational capacity, budget, and strategic goals. The IT Coordinator exercises sound judgment in determining when to perform light‑touch configuration directly and when to engage or escalate matters to third‑party vendors, while maintaining clear oversight of vendor performance, auditable security standards, configuration documentation, and service expectations.

The IT Coordinator seeks guidance from the Chief Financial Officer on new or complex matters, strategic technology decisions, or situations where vendor non‑compliance presents potential security, privacy, or regulatory risk. The role requires a high degree of professionalism, discretion, and adherence to protocol, with full accountability for work quality, strict confidentiality of sensitive information, and timely resolution or enhancement of technology services. Through this role, MSBA’s IT strategy is actively advanced and refreshed, staff and leadership benefit from secure and efficient access to information, approved AI and modern workplace tools are used responsibly to support productivity, technology changes are clearly communicated and supported through training, and IT vendors consistently meet defined security and performance benchmarks.


KEY RESPONSIBILITIES

A. Service Coordination and Continuous Improvement

  • Coordinate and continuously improve MSBA’s core technology services, ensuring reliability, availability, and alignment with organizational needs.
  • Translate business and operational requirements into practical, secure technology solutions in collaboration with internal and external stakeholders.
  • Lead adoption of modern workplace tools (e.g., Microsoft 365, collaboration platforms, AI), including readiness assessments, rollout, training, and change support.
  • Evaluate and recommend new technologies, tools, and training opportunities to enhance productivity, security, and user experience.

B. Systems Administration and Lifecycle Monitoring

  • Administer, maintain, and optimize core IT systems and enterprise applications, with a primary focus on Microsoft 365 and related platforms.
  • Lead system upgrades, configuration changes, modernization initiatives, and lifecycle planning, ensuring minimal disruption and validated outcomes.
  • Monitor system performance, risks, and service trends; proactively address issues and coordinate planned maintenance and releases.
  • Maintain accurate system documentation, inventories, and configuration records to support continuity, audit readiness, and operational resilience.

C. Security and Compliance Management

  • Establish and maintain data governance and security controls to support secure collaboration, privacy, and regulatory compliance.
  • Implement and oversee security measures including identity management, MFA, access controls, patching, logging, and AI data protections.
  • Coordinate security monitoring, incident response, and compliance activities with third‑party providers, ensuring issues are investigated and resolved.
  • Maintain auditable evidence of security controls and participate in vendor risk, security, and compliance reviews.

D. Third Party Vendor and Licensing Coordination

  • Serve as the primary liaison with third‑party IT vendors, ensuring accountability, service quality, and alignment with MSBA standards.
  • Lead vendor selection processes (RFI/RFP), including scope definition, evaluation criteria, cost‑benefit analysis, and recommendations.
  • Oversee vendor performance, incident reporting, and service improvements, including security and configuration compliance.
  • Support IT governance, licensing, contracts, and cloud vendor strategy, including onboarding criteria and exit planning.


EDUCATION AND EXPERIENCE REQUIREMENTS

The ideal candidate brings a solid foundation in information technology, supported by a diploma in IT, computer systems, or a related field (or an equivalent combination of education and experience), along with 3–5+ years of relevant experience in IT coordination and/or systems administration, preferably in non‑profit, public sector, or education environments. Expertise in SharePoint is required, including hands‑on experience administering Microsoft 365, implementing secure collaboration and information governance practices, coordinating security controls, and translating business needs into practical, cost‑effective technology solutions. The successful candidate possesses strong interpersonal and written communication skills, works effectively in a team environment, and is able to lead project initiatives while managing multiple priorities with sound judgment and attention to detail. They know when to escalate issues based on risk, urgency, or impact. The role requires flexibility, strong problem‑solving ability, and strict adherence to confidentiality.

Microsoft 365 certification is strongly desired, or have a willingness to pursue the certification as part of ongoing professional development. French language proficiency is considered an asset, and applicants are encouraged to identify additional language capabilities.


Education

  • Diploma in Information Technology, computer systems, or a related information management field.
  • Equivalent combination of education and experience may be considered.
  • Microsoft 365 certification is an asset.


Experience

  • 3-5+ years of relevant experience in IT coordination and/or systems administration, preferably in non‑profit, public sector, or education environments.
  • Experience contributing to IT strategies in small organizations, translating business needs into prioritized initiatives.
  • Demonstrated success managing projects, implementing new processes, and modernizing systems, databases, or directories.
  • Hands‑on administration of Microsoft 365, with emphasis on Teams, SharePoint, and OneDrive.
  • Experience implementing information governance, secure collaboration practices, and security controls (e.g., MFA, conditional access, data loss prevention).
  • Proven ability to manage and negotiate with vendors, including experience with Canadian public sector or nonprofit procurement processes (RFPs/RFIs).
  • Ability to deliver basic IT training to non‑technical users and explain security requirements in plain language.
  • Strong organizational, analytical, and problem‑solving skills, with the ability to set priorities, work under pressure, and meet deadlines.
  • Knowledge of education‑sector privacy, records management obligations, and public sector compliance requirements.
  • Occasional after‑hours availability may be required during critical issues or planned system changes.
